Requirements for Bids
The purchase of equipment, supplies or services
valued over $10,000.00 must be documented as follows:
Less than $10,000.00 - No formal price quotation
is necessary
$10,000 –$25,000.00- Three written or three documented verbal
quotations
$25,000.00 and up - Three written bids
If the item you are purchasing is on state contract, you do not
need to follow the bidding process. Simply indicate the state
contract number on the purchase order.

Sole Source or Single Source Procurements
Sole Source Supplier is a term used to designate
a vendor who is the only contractor capable of furnishing a particular
supply item or service. When a Sole Source Supplier is utilized,
no formal bids are required; however, a memo signed by the project
director indicating that the order is a sole source procurement
and completion of the form is required.
A Single Source Supplier is a term used to designate
a supplier who is chosen without soliciting the minimum number
of bids or proposals, despite the fact that competition exists,
because of limiting circumstances (e.g., experience of service
of the supplier or product quality).
